Office Manager/Parts Administrator
6 months Fixed Term Contract
Bury St Edmunds, Suffolk

We are supporting a local manufacturing business who are seeking highly organised and proactive individual to join their team as an Office Manager / Spare Parts Administrator on a 6-month fixed term contract.

As the Office Manager, you will be responsible for overseeing and coordinating the day-to-day operations of the office, ensuring efficiency, productivity, and a positive work environment. In addition to the office manager activities, as the Spare Parts Administrator, you will be responsible for managing and coordinating the procurement, inventory, and distribution of spare parts.

The ideal candidate will need to have previous experience building relationships with senior management as well as customers. You will need to have a good understanding of CRM and Accounting systems. You will be the face of the UK office and therefore will need to be friendly, welcoming and competent.

Please note there is an opportunity for this role to be permanent and the successful candidate will be required to complete a weeks training at the company Head Office in Holland.


Your duties will include but are not limited to:

GENERAL OFFICE MANAGEMENT & ADMIN:
• Demo centre and machine prep for customer visits
• Meeting, greeting and making customers / suppliers coffee etc. on arrival
• Manage office operations, daily incoming calls and maintain office building
• Communication with internal project managers and customers with updates on the project, questions, estimated delivery dates, planning of engineer, estimated installation and commissioning dates
• Health & Safety and Fire Marshall

ACCOUNTS & FINANCE:
• All internal and external invoicing
• Expenses
• VAT returns
• Experience with operating Xero accounting software

SALES SUPPORT:
• Machinery cost sheet preparation for A and B projects
• Quote preparation for A and B projects
• Machine order confirmation processing
• Machine internal PO numbers

SERVICE SUPPORT:
• Administrative service support for Will (field service manager)
• Support with Service Level Agreement cost sheets and quotes

SPARE PARTS:
• All incoming spare parts enquiries (1st point of contact)
• Spare parts quotes for UK and Ireland
• Spare parts order confirmations
• Spare parts internal PO numbers
• Delivery times to the customer and notification of shipment information etc. for machines and spare parts
• Organising recommended spare parts quotes (for all new machines sold)
• Managing UK spare parts consignment stock


Additional Information:
• Hours: Monday to Friday 9am 5pm
• Location: Outskirts of Bury St Edmunds, Suffolk
• Salary: Circa £30,000
• Holiday: 25 Days + bank holidays
• Start Date: ASAP
